Electronic Signatures Disclosure

1. Purpose

Vocser("we," "us") provides tools for field service organizations to capture customer signatures on work orders (for example, completion acknowledgment, change approval, or receipt of goods). This disclosure explains how those signatures are collected and stored when you use our in-app signature capture feature (the "Signature Feature").

2. Your organization’s role

If you are a Vocsersubscriber ("Subscriber"), you control when the Signature Feature is used and for what business purpose. You are responsible for determining whether an electronic signature is appropriate for your transaction, obtaining any required signer consent, and complying with applicable laws (including the U.S. ESIGN Act, state UETA equivalents, or other jurisdictions). We provide technology; we do not provide legal advice.

3. What the signer agrees to

Before saving a signature, the signer must:

  • Enter their printed name and indicate whether they are the customer or an authorized representative;
  • Confirm that they agree to sign electronically and have read this disclosure (consent version 2026-05-19);
  • Draw their signature in the capture area on the device presented by the Subscriber's user.

The signer understands that their drawn signature and associated metadata may be stored with the job record in the Subscriber's Vocser account.

4. Records we store

For each capture, we store:

  • A PNG image of the drawn signature in secure object storage;
  • Signer printed name, role, consent version, and consent timestamp;
  • Job and company identifiers, capturing user, and server timestamps;
  • Optional technical metadata (for example, IP address and user agent on upload) in audit logs as described in our Privacy Policy.

5. Hardware and access

Signatures are typically captured on a mobile device controlled by the Subscriber's technician or staff. The Subscriber should present the device to the signer in person when possible, verify identity according to their policies, and avoid sharing devices or credentials in ways that undermine signature integrity.

6. Withdrawal and paper copies

Signers who prefer not to sign electronically should notify the Subscriber; the Subscriber may offer a non-electronic alternative. Subscribers may export or print job records according to their account permissions and retention settings.

7. No guarantee of legal effect

WE DO NOT WARRANT THAT ANY SIGNATURE CAPTURED THROUGH THE SIGNATURE FEATURE WILL BE ENFORCEABLE IN EVERY JURISDICTION OR FOR EVERY DOCUMENT TYPE. ENFORCEABILITY DEPENDS ON YOUR PROCESS, THE UNDERLYING AGREEMENT, AND APPLICABLE LAW.

8. Related policies

Use of Vocser is also governed by our Terms of Service, Privacy Policy, and Acceptable Use Policy. Questions about a specific signature should be directed to the Subscriber named on the work order.
