VOCSER ("we," "us," or "our") operates the VOCSER platform. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our website and services. By using VOCSER, you agree to this policy. If you do not agree, please do not use our services.

2. Information We Collect

We collect information you provide and information we obtain automatically:

  • Account and profile: Name, email address, company name, and password (stored securely).
  • Business data: Information you enter into the Service, such as customers, jobs, work orders, invoices, time entries, expenses, assets, inventory, and notes.
  • Voice and audio: If you use voice features, we process recordings to turn what you say into usable entries (for example time entries, jobs, or expenses). Recordings and the text we derive from them may be stored and shared with service providers as described below.
  • Payment and billing: Billing contact, payment method information, and transaction history. Payment card details are processed by our payment provider (Stripe); we do not store full card numbers.
  • Usage and logs: Sign-in activity, device and connection information, and actions taken within the Service for security and accountability.
  • Cookies and similar technologies: As described in our Cookie Policy.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Service.
  • Authenticate users and enforce our Terms of Service and Acceptable Use Policy.
  • Process payments and manage subscriptions.
  • Turn voice recordings into structured information when you use voice features.
  • Send service-related communications (e.g., password reset, billing, security alerts).
  • Respond to support requests and comply with legal obligations.
  • Analyze usage and improve security (e.g., fraud prevention, abuse detection).
  • Comply with applicable law and protect our rights.

4. Third-Party Services and Data Sharing

We use trusted third-party service providers to operate the Service. They process data on our behalf under contractual obligations:

  • Cloud infrastructure (authentication and database): We use a managed service to host your account, sign-in, and business data. That provider processes data on our behalf under contract; review their terms and privacy policy for their practices.
  • Stripe: Payment processing. Card and billing data are handled by Stripe in accordance with their privacy policy.
  • Voice processing partners: When you use voice features, we send audio and the text we derive from it (and related context) to third-party services your organization has enabled, to produce structured information (e.g., time entries, job descriptions). Which partner is used depends on your administrator’s configuration; review that partner’s privacy policy for how they process data.

We do not sell your personal information. We may disclose information if required by law, to protect our rights or safety, or in connection with a merger, acquisition, or sale of assets (with notice where required).

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service and comply with legal obligations. Audit logs and certain records may be retained for a longer period as required by law or our internal policies. When you delete your account or request deletion, we will delete or anonymize your data in accordance with our data deletion procedures, except where retention is required by law.

6. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate personal data.
  • Deletion: Request deletion of your personal data, subject to legal exceptions.
  • Portability: Request a copy of your data in a structured, machine-readable format.
  • Opt-out of marketing: Unsubscribe from marketing emails (service-related emails may still be sent).
  • Restrict or object: In certain jurisdictions, restrict or object to certain processing.

For organization-level data export or deletion (e.g., full company data), we may require authorization from an account owner and will process requests in accordance with our internal procedures and applicable law.

We implement reasonable technical and organizational measures to protect your data, including encryption in transit and at rest, access controls, and secure authentication. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

8. International Transfers

Your data may be processed in the United States or other countries where our service providers operate. If you are in the European Economic Area, United Kingdom, or another jurisdiction with transfer restrictions, we rely on appropriate safeguards (e.g., standard contractual clauses) where required.

9. Children

The Service is not directed to individuals under 18. We do not knowingly collect personal information from children under 18. If you believe we have collected such information, please contact us and we will take steps to delete it.
